Your Tasks and Responsibilities:
Support and provide high level administrative support
Organize and maintain diaries and schedules complex appointments and meetings
Coordinate meetings, workshops, trainings, and other communication sessions including setup and support with regards to necessary preparation for those meetings (agenda, reserve conference rooms and equipment and coordinate catering services)
Prepare presentations (including training), reports, statistical charts, and briefings
Coordinate and establish all travel arrangements (hotels, flights, etc.), reconciling travel and expense reports
Devising and maintaining office systems, including data management, filing etc.
Assist in integration of new office technologies and systems as appropriate.
Completes, collects, and checks documents for completeness according to given criteria
Consolidates data from various sources in single presentations and documents
Maintains confidentiality of all sensitive or proprietary information
Assist in creating policies, processes, and documents
Keep HR Intranet updated
Assist in regular reporting and verification activities (e.g. tracking of action items, status, creating reports, follow-ups)
Administer training campaign and assist in preparation of trainings
Assist with keeping corporate documents up-to-date and administering corporate housekeeping activities
Your Qualifications And Experience
Bachelors degree in Administration or similar
Min. 3-5 years of experience in similar role
Excellent written and verbal English
Extensive experience in organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency.
Has experience particularly in coordination & cooperation with multinational environment within the Gulf Region.
Understand the required level of confidentiality that the job requires
Excel in the usage of MS Office, specifically MS Outlook, Word, Excel and PowerPoint.
UAE nationality is a must
