What It’s About
We are looking for a Team Assistant to support the Partners Group Dubai Office.
Duties & Responsibilities
Supporting the Sales team with various tasks across the board
Preparation, coordination and post processing of internal and external meetings
Planning and management of multiple Executives business trips, often at the same time in varying locations as well as the local travel requirements that come with each trip. This includes visas & other entry requirements, meet & greets, cars and so on (therefore regional travel experience & knowledge is essential)
Correspondence, organization and ownership of PG team & client events both locally and internationally
Coordinate international and domestic travel bookings, using Concur and with external agency; prepare itinerary and logistics in Outlook tailored to each Executives needs
Record and process multiple expense reports and travel data using Concur & our internal systems / processes
Maintain and update all client interaction and data in internal database (Siebel, [DealCloud])
Preparation and printing of presentations, documentation and hand-outs for meetings and business trips for each of your Executives
Answer phones, screen and route callers, handle inquiries, and provide backup for other Assistants / Team members who are visiting the region
Other ad-hoc administrative tasks as necessary
What We Expect
Minimum of 2-4 years of administrative support experience working in a professional environment for a medium to large corporate entity
Proficient in MS Office Suite, and ability to quickly pick up new software & systems
Ability to work proactively, handle a large number of tasks for multiple people while meeting deadlines, and maintain performance under pressure
Organized, calm and quick thinking with high attention to detail
Professional, mature, team player who will be valuable contributor to a busy Sales team
Fluent English both written & oral (Arabic would be advantageous but not essential)
