Receptionist Full Time NEW

Bloom Education are actively seeking a UAE National Receptionist to join in August 2025 on a 1 year contract.

The Receptionist is appointed to take care of front desk responsibilities. She/he greets parents and visitors, provides information about the school, deals with telephone and email correspondence and handles enquiries. The Receptionist is expected to be an Ambassador for the school and provide a first-class customer service to parents, visitors and guests.

Key Duties And Responsibilities

• Greet visitors to the School in a pleasant and informed manner.
• Ensure reception area and the waiting room are always neat and tidy for visitors.
• Welcome guests and visitors and call appropriate department to assist them.
• Accompany parents to the clinic and assist them with their child(ren)
• Answer phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the School and check voicemail
• Provide information to the public, teachers, students, staff, and other employees regarding school activities, established policies, rules and regulations.
• Check for any events/ meetings from all departments
• Respond to parents queries with up-to-date information and respond to parent complaints

Early leave / late arrivals of students

• Issue early leave and late arrival slips to students
• Manage late arrivals and advise appropriate teaching staff to escort KG Grade 2 late arrivals to class
• Arrange for collection of students from classrooms for early leave

Student Attendance

• Verify attendance registers have been completed by teachers
• Call parents of absent students to confirm absence and request absence note
• On receipt of medical certificates, update eSIS attendance to authorized leave and forward certificates to the School Clinic
• Update eSIS with late arrivals
• Check for absence emails from parents and forward to teachers

Perform Other Tasks Related To The Position As Assigned

• Manage general school email account, sifting and forwarding relevant emails as necessary
• Provide general clerical/administrative support e.g. photocopying, filing, faxing, completing standard forms, responding to routine correspondence
• Receive parcels and deliveries; ranking outgoing post and arranging special deliveries when necessary
• Produce lists/information/data as required e.g. class lists
• Assist in locating students when they are reported missing from classes
• Take the late arrival, log out book and absence list to the assembly point during fire drills and emergencies
• Make sure that no students at the reception area are left behind unattended by teachers at the end of the day in case the parents are late to pick up the students
• Attend and participate in relevant meetings as required
• Participate in training and other learning activities and performance development as required
• Undertake any other reasonable duties within the overall function, commensurate with the grading and level of responsibility of the post

Assist the admissions team

• Data quality activities in eSIS (parent contact details, addresses, transportation etc)
• Support student enrolment days

Professional Duties & Responsibilities

• Represent him/herself as an ambassador of the school and in a professional manner at all times.
• Ensure that school reception procedures and the schools codes of conduct are followed at all times.

Essential

Qualifications, Experience and Competencies

• Minimum High School Diploma
• Minimum 2 years experience of working in customer service/office environment
• UAE Family Book
• Fluent Arabic and English communication skills
• Knowledge and expertise of office procedures and appropriate software including Microsoft Office
• Strong interpersonal skills to aid in daily contact with parents in a diverse multi-cultural environment
• Demonstrate professionalism, commitment and integrity
• Innovative, motivated, resourceful, flexible and outgoing.

Desirable

• Experience of working in an admin role within a school environment
• Experience in the Education field / American curriculum would be an advantage.
