We are looking for an Business Administrator to provide leadership support and keep the office running smoothly and efficiently. In this role, you will be required to oversee administrative and clerical activities; greet and direct office visitors; collect, organize, and retrieve information and documents; and make arrangements for meetings and travel.
Handling phone calls, managing calendars, scheduling appointments, and arranging meetings, booking meeting rooms, and planning refreshments, helping with planning, and arranging events, including organizing catering, greet and assist visitors, clients, and customers, providing a professional and friendly image of the company. Handle inquiries, direct calls, and provide general administrative support.
Oversee and manage daily office operations, ensuring smooth functioning of facilities, Monitor and manage office supplies inventory, ensuring availability of necessary materials, ordering supplies when needed, and maintaining appropriate records of stock, equipment, and services. This includes maintaining office cleanliness, organizing office layouts, and coordinating with vendors for maintenance and repairs, replying to generic information emails, calls and organizing postal sorting mail, managing outgoing post and recording data on special deliveries, Manage the communication with the building with regards to DR office in Dubai, maintaining stock levels and placing orders for office supplies as required.
Maintain and update company documents, records, and files, ensuring accuracy, confidentiality, and easy retrieval. This may involve creating and editing documents, preparing reports, and maintaining databases, Photocopying, scanning and filing, Draft, format, scan and print relevant documents, accurately enter and update data into systems and databases. Generate reports, compile data, and assist in data analysis as required.
Provide support to the HR department by assisting in insurance management, mobilization processes, onboarding bookings, preparing HR-related documents, and coordinating employee onboarding and offboarding procedures. Arrange travel itineraries, accommodations, and transportation for employees and visitors. Coordinate logistics for meetings, conferences, and events.
Provide support to the managing partners in terms of their meetings coordination, their mailboxes, their residency renewals, and all other admin and personal related matters.
