As an administrative executive, you are primarily responsible for administrative tasks of the assigned accounts. To ensure that administration department operation is running efficiently and effectively focusing and demonstrating constructive approach to Continues Improvement Process (CIP) and following appropriate SOP’s and work instructions.
About The Job
- The administrative executive is responsible for all day-to-day operations within the administrative team.
 - Supporting any administration requirements for smooth operations such as documentation, billing, and reporting.
 - Ensuring that operation is running efficiently and with zero error approach, while providing expected customer service levels.
 - Demonstrate Continuous Improvement Process focus (CIP).
 - Following appropriate SOP’s and quality standards.
 - Health and safety standards are being communicated and followed.
 - Reporting and information requirements are being met daily and communicated properly to internal / external stakeholders.
 - Create and edit export documents for customers as per the procedures set with the customers.
 - Perform manual order creation for specific customers, as required.
 - Create and release picklist and coordinate with warehouse team to complete the process before KPI.
 - Delete and cancel outbound orders as per customer request.
 - Create a load list for the shipments scheduled.
 - Create exit BOE gate pass for the shipments scheduled.
 - Preparation of visitor Gate passes
 - Generating LPO for stationery items monthly, maintaining consumption or stock report for the same.
 - Always maintain proper documentation practice and controls.
 - Work as mediator between customer service team and warehouse operations team.
 - Follow up with operations team in case of any delay in operation.
 - Create export documents for multiple customers.
 - Work overtime as may be required from time to time.
 - Assist with the warehouse billing for the assigned clients and cost invoices sending for booking.
 - Preparation of ASN for non-EDI customers.
 - Organize workload and timely application of documentation in line with set KPI’s.
 - Ensure that all duties assigned are carried out according to the policies and procedures set forth by the company.
 - Supporting aggregation system activities like order generation, Import permits submission.
 - Execute assigned tasks in a compliant manner following internal SOP’s and GDP training.
 - Job filing on weekly or monthly basis.
 - Archiving hard copies and soft copies in the designated location monthly.
 - Prepare work instructions when needed.
 - In addition to your specific job responsibilities, you may be called upon to carry out specific assignments by your supervisor / manager.
 
About You
- Bachelor’s degree / Mater’ degree in Business administration.
 - 2+ years of experience in logistics coordination and billing operations.
 - Proficient in all Microsoft office applications (Excel, Word and power point)
